Rental Terms & Conditions
Last updated: October 2026
Thank you for choosing VanTrip Japan. These terms apply to all campervan rentals operated by キャンプ女子株式会社 (Camjyo Inc.). Please read them carefully before booking.
1. Rental Period & Eligibility
- Minimum rental period: 2 days
- Drivers must hold a valid driving license recognized in Japan
- Accepted licenses: International Driving Permit (Geneva Convention), or official Japanese translation issued by JAF (for licenses issued in Switzerland, Germany, France, Belgium, Monaco or Taiwan)
- Pick-up and return is at our Hakozaki Base (10 min from Fukuoka Airport)
2. Pricing & What's Included
All daily rental rates include:
- ✅ Vehicle insurance (CDW — Collision Damage Waiver)
- ✅ Basic camping gear set
- ✅ English navigation system
- ✅ On-board power: portable power station (Probox) or sub-battery with AC outlets (Bongo, Pocket Loft)
- ✅ 24/7 roadside assistance
- ✅ Multilingual support (English, German, French, Chinese, Hebrew; other languages via translation tools)
- ✅ ETC card, free of charge (advance request required; highway tolls are paid by the renter)
Optional on advance request: portable Wi-Fi router (¥500 per day) and child seats.
2.1 Weekday and weekend rates
The advertised daily rate is the weekday rate (Monday–Friday). Rentals on Saturdays and Sundays are charged at 150% of the weekday rate. Some dates (for example the autumn foliage, cherry blossom and spring peak periods) use seasonal rates; our price calculator shows the rate for each date. For multi-day rentals this is already included in the total shown by our price calculator and in the long-stay packages, so there are no surprises at checkout.
Long-stay discounts are applied automatically to the total: 7 days or more −10%, 14 days or more −15%, 21 days or more −20%.
3. Security Deposit
A refundable security deposit of ¥50,000 is collected at pick-up. This deposit covers:
- Any ETC (highway toll) charges incurred during your rental
- Any fuel shortfall if the vehicle is not returned with a full tank
- Any minor damages not covered by insurance
The deposit (minus any applicable charges) is fully refunded within 7 business days after vehicle return. If the total charges (including highway tolls, fuel shortfall, damage deductibles, or non-operation charges) exceed the ¥50,000 security deposit, the remaining balance will be charged to the renter's registered credit card on file.
4. Insurance & Accident Liability
4.1 Included Insurance (CDW)
All rentals include Collision Damage Waiver (CDW) insurance as part of the daily rate. This covers:
- Third-party liability (対人・対物)
- Vehicle damage (車両損害)
4.2 Deductible (免責額 / Excess)
In the event of an accident, the renter is responsible for a deductible (excess) amount:
| Coverage Type | Deductible Amount |
|---|---|
| Vehicle damage (車両免責) | Up to ¥100,000 |
| Third-party property damage (対物免責) | Up to ¥100,000 |
You may optionally purchase the Zero-Risk Full Cover Option (see Section 4.4) to reduce all deductibles to zero.
4.3 Non-Operation Charge (NOC / 休業補償)
If the vehicle is damaged and cannot be rented to the next customer, a Non-Operation Charge will apply:
| Condition | NOC Amount |
|---|---|
| Vehicle is drivable (self-return possible) | ¥20,000 |
| Vehicle is NOT drivable (towing required) | ¥50,000 |
The NOC applies regardless of fault and is separate from the insurance deductible, unless you have purchased the Zero-Risk Full Cover Option (see Section 4.4).
4.4 Zero-Risk Full Cover Option (完全免責補償パック)
For complete peace of mind, you can add our Zero-Risk Full Cover Option during booking. This option waives the following accident costs:
- ✅ ¥0 Deductible for vehicle damage (normally up to ¥100,000)
- ✅ ¥0 Deductible for third-party property damage (normally up to ¥100,000)
- ✅ ¥0 Non-Operation Charge (NOC) for the first accident (normally ¥20,000 to ¥50,000)
- ✅ Tire Punctures & Towing covered (normally renter's responsibility)
Note: Even with this option, damages caused by prohibited use, driving under the influence, or gross negligence are not covered, and neither are accidents that were not reported to the police at the scene and to VAN TRIP JAPAN (see Section 4.6).
4.5 Not Covered by Insurance
Insurance does NOT cover:
- Damage caused while driving under the influence of alcohol or drugs
- Damage caused by unauthorized drivers
- Damage to tires, wheels, undercarriage from off-road or unpaved driving
- Interior damage, loss of personal belongings
- Violations of traffic laws (fines are the renter's responsibility)
- Accidents that were not reported to the police at the scene and to VAN TRIP JAPAN (see Section 4.6)
4.6 If You Have an Accident
Japanese law (Road Traffic Act, Article 72) requires the driver to report every traffic accident to the police, however minor. This includes scrapes, bumps, hitting a wall or pole, and damage with no other party involved.
- Stop in a safe place and help anyone who is injured (call 119 for an ambulance).
- Call the police on 110 from the scene and wait until an officer has recorded the accident.
- Contact VAN TRIP JAPAN on WhatsApp (or call +81 50-5850-5236) before continuing your trip.
- Do not agree to any settlement or payment with another party yourself.
Without a police report, no traffic accident certificate (交通事故証明書) can be issued. In that case the deductible limits in Section 4.2 and the Zero-Risk Full Cover Option do not apply, and the renter is charged the full cost of vehicle repairs, the Non-Operation Charge and any damage the insurance does not pay. Telling us about an accident only when you return the vehicle is too late.
5. Fuel Policy
The vehicle is provided with a full tank of fuel. Please return the vehicle with a full tank. If the fuel level is below full, refueling charges will be deducted from the security deposit at market rate + a ¥3,000 refueling service fee.
6. Cancellation Policy
| Cancellation Timing | Fee |
|---|---|
| 8+ days before rental start | Free cancellation |
| 7–5 days before | 30% of rental fee |
| 4–2 days before | 50% of rental fee |
| 1 day before, day of rental, or no-show | 100% of rental fee |
7. One-Way Drop-Off
One-way trips (pick up in Fukuoka, drop off in Tokyo or Osaka) are available with a surcharge. Please contact us for pricing.
8. Prohibited Use
- Off-road driving or beach driving
- Smoking inside the vehicle (¥50,000 cleaning fee)
- Driving outside of Japan
- Sub-leasing the vehicle
- Towing other vehicles
